File (Alt-F) The File menu offers choices for opening existing class lists, creating new class lists, printing student information, and exiting the program. ( Open New Print Print All Exit File Open (F3) The Open command displays the Open a File dialog box. In this dialog box you select the text file you want. Use the tab or Alt- F key to activate the file list, then use the arrows keys to pick the file you want. Press enter to choose the class file. The dialog box contains: an input box with a history list a list box to browse the directory the standard Cancel button Open action button Delete action button an information panel that describes the selected file File The New command is used to create a new class list. You will be asked to enter a file name. Use a word of 8 letters or less to identify your class file. Do not use a word that has been used previously. A dialog box asking for the course title, period, and whether you want to use + and - grades will be presented next. Use the tab key to move around the dialog box. Do not press enter until all entries are made. When choosing between + and - grades use the arrow keys to change choices. The next dialog box will then ask for the students last and first name. Use the tab key to move around. Press enter when completed. When all names have been entered press escape. A class list window will then appear. File Print The print command will allow you to print out student grades, progress reports, warning slips, names and I.D. numbers, and a random list of names. When printing the grades you are offered the option of having the grades printed by name or I.D. or by the current order or rank from highest to lowest. Use the arrow keys to choose identification and order. To move from one box to another use the tab key. File Print All The print all command will allow you to print out all grades for all students. The grades will appear in compressed print in a vertical format. File Exit (Alt-X) The Exit command terminates this program. Edit (Alt-E) The Edit menu contains commands that let you enter a new set of grades (New Grade), change grades (Change Grades, delete a set of grades (Delete Grades),remove a student (Remove Student), add a student ; (Add Student) or change file information including course title and period, grading system, student name or id, or change the title of the highlighted grade item (Change Info) Edit New Grade When this is selected you will be asked whether the new grade will be a test, quiz, homework, lab, or other. Use the arrow keys to make the appropriate choice and then press enter. Each student name will appear with an input line for the new grade. Enter the appropriate grade. Edit Change Grades When this is selected you will be presented with a list of the names of all of the students in the current class file. The grade that will be changed is the one between the double bars. Use the spacebar to put a check by each student whose grade you want to change. Arrows keys move you up and down, the tab key moves you left and right. After the names are chosen a dialog box with the students name will be presented. Enter the appropriate grade. Edit Delete Grades When this is selected you may remove an entire set of grades from your class file. The set of highlighted grades will be removed. You will be asked for confirmation before the grades are removed from the disk. Edit Remove Student When this is selected you will be asked whether you want to drop or transfer the student. Make the appropriate choice with the arrow keys. If the student is transferred a file dialog box will be presented asking you the destination of the student. Edit Add Student When this is selected you will be asked the last and first name of the student you want to add. Use the tab key to move around. The student will be given blank scores in all grades recorded so far. To change any of the grades use Change Grades. All scores not changed will not be counted against the student. Edit Change Info When this is selected you will be presented with a choice of 4 items which can be changed. The Name/I.D.# will will allow you to change the name or ID# of students selected from a list of all students. Use the spacebar to put a check by each student whose name or id you want to change. Arrows keys move you up and down, the tab key moves you left and right. The Course/Period selection will allow you to change the course and/or period of the current file. The Grading System choice will allow you to pick another grading system: points, weighted, special1, or special2. Replace Grade Title will rename the grade title within the double bars. Options (Alt-O) The Options menu contains commands that let you alphabetize the names (Alphabetize), print a grid of names and boxes that can be use for attendance or for recording grades, (Attendance) generate a new set of grades for a new grading period (New Grading Period) display the average of the grades within the bars (Display Average) rank the students from highest to lowest by the grades within the bars (Rank) or refresh the screen. (Refresh Screen). Use the arrow keys to choose the appropriate option then press enter, or click the mouse on your choice, or press the red letter of your choice. With the new grading period option you will be asked for a new file name. Be sure to use a name which is different than any of your other files. Options Alphabetize This will alphabetize the students on your class list. The change is permanent. Options Seating Chart A seating chart can be created and printed using this option. 4 Student Remove Student Change Seat Print Options Seating Chart Add Student A student can be added to the seating chart by specifying first name, last name, and seat number. Options Seating Chart Remove Student A student will be removed from the specified seat number. Options Seating Chart Change Seats The names in two seats can be exchanged using this option. Options Seating Chart Print The current seating chart will be printed. Options Attendance This will print sheets which may be use as attendance sheets or for recording grades. The number of boxes(days) can be from 1 to 50 including dates and days of the week if desired. When the number of days is greater than 30 the list will be printed in compressed print. Options New Grading Period A new file will be created for the current class list. Options Display Average The average of the grades within the bars will be displayed. Options The students will be ranking according to the grade within the bars. This ranking is not permanent and is available for display or printing purposes. The screen must be refreshed with Refresh Screen before operations other than printing can be performed. Options Refresh Screen The screen will be restored to the same state it would be after a grades file is opened initially. You must refresh the screen after using the delete key or the Options Rank command. Printing will automatically refresh the screen. Change You may change the appearance of your progress reports and scholarship warning forms by using this menu item. Upon choosing Edit Progess Reports or Edit Scholarship Warning an elementary text editor will open the appropriate file and allow you to make changes. You may place the following items anywhere within the report and the program will obtain these items from the current class file. These items must be in braces (Obtained by pressing shift [ and shift ]). E firstname - will display the student's first name in that location. C lastname - will display the student's last name in that location. : course - will display the course title in that location. 8 date - will display the current date in that location. grades - will print out the grades currently display on the screen including titles. In order for the titles and grades to line up the grades item must be to the far left. Print Grid Print Grid will allow you to print out the class list along with a grid containing headings. An example grid is included and can be examined by choosing Print Grid|Old. The name of the file is PROJECT.COL. Choose this file to get a feel for the appearance of the grid. To create your own grid choose Print Grid|New.
